Businesses that pay employees and contractors have a legal obligation to file tax forms W-2 or 1099. Since year-end is already a busy time for most businesses, it is imperative for employers to simplify the processing of forms W-2 and 1099. The most basic way of keeping track of employee information is manually, meaning on paper or on a spreadsheet. Keeping track of employee information within some type of payroll software is much more efficient, and the information is entered throughout the year, so it is ready to report on at year-end. Since the information is entered over time, this method can drastically reduce year-end forms processing time.

Forms W-2 and 1099 can be purchased and filled in manually; however this is not the most efficient method. Businesses that don't track information within a comprehensive payroll software system do still have an option to simplify the process of filling in forms. There are standalone tax forms systems available for purchase that are created with the sole purpose of allowing employers to fill in end-of-year forms W-2 and 1099 (and other forms that may be needed). Using a standalone tax forms system can drastically reduce the time needed to fill in forms by hand, and doing so also allows the employer the option of filing those forms electronically, further streamlining the entire process. By far, the most efficient method is to track the information within payroll software, so it is entered as the year goes on, and then simply pull the information within that system to fill in the year-end forms when ready.

Tax forms can be filled in manually, in some states and in some situations. Large employers may be required to file electronically. The trend is moving toward filing tax forms electronically, or "eFiling". Filing tax forms electronically drastically reduces the need for paper materials such as the tax forms, envelopes, stamps, and paper.
